At Uptown Billiards Club, it is our standard practice to work with you using three separate quotes: one for your food menu, another for your beverage plan and another for the space reserved for your party.
Pricing on the space will be variable. The first consideration in variability is the demand by other groups. For this reason, renting in December is more expensive than renting in July. The second consideration is less obvious: unlike a big pink, boring ballroom, UBC is open to the public and we must consider the short term and long term "opportunity costs" of turning away customers who may have driven 20 minutes to come play.
Because it is unconventional for a venue to charge a "room rental" for space, sometimes we are asked to make that line item disappear from the final invoice. If that suits your organization's needs, we are happy to build the room fee into the food or beverage bill the same way all hotels do. We feel that it is more "honest" and easier for everyone to understand three real line items than two fictional ones.
Whether during the holidays, during the daytime or during any party which will displace a large number of paying customers, we will ask that you meet a "Food and Beverage" minimum.In order to reserve the space for your event, you will need to make a deposit in the amount of the room fee. During the holidays, you will also be required to pay the food, beverage and gratuity total at least two weeks before your event. All final payments, including last-minute adjustments or gratuities or contract entertainment fees are due at the end of the event unless previously agreed to by our Event Coordinator.If your party is cancelled by a force majeur ("act of God"), such as an ice storm or earthquake, any deposits you have paid will be applicable to any future party during the following 11 months.If your party is cancelled for any reason other than the "naturally uncontrollable," we will address the issue on a case-by-case basis. As a rule, if we are able to re-book the space for the same rental fee and food and beverage minimum, we'll gladly return deposits. There is an industry-standard 18% service fee automatically charged to your food and beverage total.
